How to Request a Custom Packaging Bag Quote: A Buyer’s Checklist

To request an accurate custom packaging bag quote, send the supplier your product details, bag style, dimensions, intended order quantity, printing artwork and delivery destination. If you are unsure about the material or size, include a reference bag and explain how the packaging will be filled, stored and used. A clear brief helps both sides compare the same specification.

This checklist is designed for brands, importers and wholesale buyers preparing their first inquiry or comparing proposals from multiple packaging manufacturers.

1. Describe the product that goes inside the bag

Start with the contents: coffee beans, tea, snacks, clothing or another product. Explain the intended fill weight or item dimensions, whether the product contains oil or moisture, and how it will be packed. Mention any freezing, heating or vacuum process that the proposed packaging must support. These are requirements for the supplier to evaluate, rather than a reason to assume that one bag material suits every application.

For food applications, identify the destination market and ask what supporting documentation is available for the proposed material and intended use. Confirm suitability before approving production.

2. Specify the bag format and measuring method

Choose a starting format, such as a stand-up pouch, flat-bottom bag, side-gusset bag or flat zipper bag. A photograph is useful when terminology is unclear. If you already use a bag, send a sample or clearly labelled measurements.

State the units and explain whether your measurements describe the outside dimensions or the usable internal space. Identify width, height and gusset depth separately. Do not rely on fill weight alone to determine size: ask to check the fit with the actual product or a suitable sample.

3. List the features you actually need

Specify the closure and presentation details that matter to your project. Examples include a resealable zipper, tear notch, hanging hole, clear window, rounded corners or a coffee valve. Ask the manufacturer to review the combination against the proposed bag structure and filling method.

If an existing material specification is available, share it. If it is not, describe the protection and handling requirements and request a proposed structure for review. Keep performance requirements separate from visual preferences such as a matte finish or a transparent area.

4. Make quantity and artwork clear

Provide the total quantity and the quantity per design, size and product variant. An inquiry for 10,000 identical bags is different from one for several designs adding up to the same total. Ask the supplier to state the minimum order quantity for each proposed specification.

Send available artwork and say whether it is final or still being developed. Ask for the correct bag template before placing important text, logos or barcodes. Review the artwork proof, dimensions, seals and print position together before giving production approval.

5. Use the same checklist to compare quotations

Information to send What to confirm in the quote
Contents and intended use Proposed bag specification and suitability review
Bag style and dimensions Units, gusset definition and measuring method
Quantity per design MOQ and pricing basis for each variant
Artwork and finish Printing method, proof process and included work
Destination and required date Delivery terms, freight scope and estimated schedule

Ask whether sampling, printing setup, packing, freight and taxes are included or quoted separately. Compare the complete scope as well as the unit price. Treat an estimated production or shipping schedule as something to confirm against artwork approval, sample review and the actual order.

Frequently asked questions

Can I request a quote without a final bag size?

Yes. Send product dimensions or fill weight, a reference image and the preferred bag format. Ask for a proposed size and verify it with a sample before ordering bulk production.

Do I need finished artwork before contacting a supplier?

No. You can begin with a logo, reference design and a description of the intended print coverage. Make clear that artwork is preliminary so the quotation can state its assumptions.

What should I check before placing an order?

Confirm the specification, sample or proof, quantity per design, price scope, payment terms and delivery arrangements. Record agreed changes in writing so the approved version is easy to identify.
